Admissions control systems
We will distribute the invitation cards mainly by mail and confirm them by phone or email Due to it is expected that 300-350 visitors will be invited, 3 admission time range would be set like 1200-1210pm, 1210-1220pm and1220-1230pm will be offered to guests in order to control the flow of people and make it smooth. There will be 2 counters set in front of the reception for the registration and they will be welcomed by four receptionists.
Attendee Services
After Checking in, the leaflet will be delivered to guests. It followed by the photo section time and guided by the guest relations volunteers to the Grand Hall immediately in order not to block the flow. Meanwhile, Jackets will be hanged on the Executive meeting room. They could get it back base on the number when they left.
Security plan
We will offer 10 security guards on sites and 5 off site. Also they will be provided Wi-Fi walkie-talkie and in house telephone. On the other hand, kid lost centre and the medical services centre will be placed in the reception floor and cooperate with the other department. Kids Areas are provided on 400B in order to reduce the disturbances brought by the kids.
Infrastructure Requirement and Plans
Transportation
A map is supposed to send to the guest with the invitation card and how they can come. Also we will negotiate will the SBB to ask for a special train arrangements. For example, increase the frequency of the trains. Free shuttle train will be available at the main train station of Aigle, which takes about 30 minutes reaching Leysin-Feydey. Negotiations would be made with the SBB train Company so as to increase the frequent of train during the admission and departure time.
Parking
Open space outside Leysin-Feydey train station can be use as parking for around 50 spaces for the guests free .In this sense, parking will be sufficient to our guests during the event.
Waste management
For the waste management, the event would probably generate certain number of food leftover that suggest serving student on the evening of the event day and branch the day after. Since the event will start in noon till evening, it is recommended to use natural sunlight and control the electronic light to reduce light consumption. Concerning to the decorations and display, the useful one could be kept for next year while the other can be put into the paper recycle bin. (Shone and Parry (2004 )p.35)
