Communicating in Organizations

COMMUNICATING WITHIN ORGANIZATIONS

Communication within the workplace is very important because communication is key in everything we do, and most importantly at work.  As stated in “Organizational Communication” by Alan Jay Zaremba, “Communication is necessary for nearly all forms of organizational success. It shapes, limits, and defines perception of individuals and organizations alike.” (Zaremba, 2010, p10).  The main reason for communication within the workplace is to delegate information from top and middle management vertically down to the workers. Communication is also important between departments within the organization, and there is a certain etiquette to communication in which to avoid miscommunication.  Also within the organization is business to business communications, which is extremely important in communicating between organizations, especially in today’s global market.  Lastly, communication within social media is something that has been in the forefront of communication, given the last twenty years or so since the internet and social media has become the norm.  In looking through the library sources of both academic searches and journal articles, we have chosen some quotations that we believe are tenets of good communication within organizations and the workplace.

        With business etiquette, it is important to make sure information gets to all appropriate personnel so that there is no breakdown within the organization.

  • “When there is an internal communication gap within an organization there is usually a breakdown in the way information is been sent from the sender to the receiver. This is precedent in organizations that have a top down hierarchy. In this type of hierarchy it can be difficult for bottom level employees to obtain information regarding changes within the organization.” (Sharma, 2010, p. 1)
  • “The management can help to develop a feeling of competency by properly assessing the capabilities of each employee and giving the worker job assignments within boundaries of his ability to perform. Necessary training, communication, and material assistance, and feedback for successful performance can also be provided.”

When we think of communication, we generally think of verbal, but non-verbal communication and its etiquette is just as important.

  • “In most of the Far Eastern countries pointing the index finger is considered as highly obscene. Bowing is a sign of respect in Japanese culture while in Malaysian culture it is considered blasphemy since in Islam, bowing before anyone other than God is banned.”  (Usmani, 2005, p. 6)

                        
Communication within organization is vital, but in order to sustain growth and development of organization , professionals also need to put an effort in communication with partners they do business with . Getting message from point “A” to point “ B” is not as easy as it seems. Accuracy and preciseness in messages can play a huge role, especially for the receiver of the message. “Receiver must get messages at a time when information is meaningful.” (Zaremba, 2010, p112).  Delivering and receiving messages in b2b environment can be frustrating, since we live in the flat world with modern technology. Although the biggest aid to professional are computers, us professionals still make costly errors. A great example would be business that’s involved in supply chain , where agents in export and import business tend to miscalculate time of delivery . There are also big number of cases where procurement or sales agents would receive a valuable information and in many cases that valuable information would be delivered off to clock due to time differences. Agent from another business entity tend not to take in account that their partners live on the other side of the world and are currently sleeping or possibly leaving the office and will not have the access to valuable information in an appropriate time..

   In order for b2b communication to stay effective , businesses need to build relationships, stay personal and consistent, and most of all learn about their partners culture and behavior.
