Audience Analysis

In speaking publicly in-person or anywhere, to a diverse group of people, a common message is essential in drawing the attention of the audience. In tailoring an effective presentation, vital considerations of the audience should be put in mind to achieve the success, which includes the different attributes of the audience being targeted, and communication channels should be sufficient and proper to put across the message to the audience efficiently (Locker & Kienzler, 2008).

Characteristics of the Audience to Consider

When preparing a presentation that concerns data of sales to a varied group of managers, salespersons, and customers, the similarities and differences of the group have to be put into consideration. The understanding among the differing groups and the technical information differs. This requires the ability to formulate a presentation, which emphasizes discovering the way to converse the information to individuals in the group, which is comprehensible (Thill, 2011). The presentation also requires maintaining the capability to entertain the audience and grasp their attention.

When addressing a varied group of individuals, a foremost contemplation is every individual’s role in the organization. Treating the managers well is critical; an informal atmosphere may make them feel overlooked. Salespeople often want numbers and details, whereas managers usually want the “broad strokes” to assist them in knowing if the goals have been achieved or not. In addition, giving some particulars and keeping the picture in mind will keep the salespeople engrossed and gratify the bottom-line questions of the managers (Booth, Desberg & Shames, 2001). On the other hand, customers in the audience will wish to discern where their capital is going and what reimbursement they can receive; working those items into the presentation includes everyone and ensures that every role in the organization is content. Telling jokes, although acceptable in an informal environment, it would not be fitting in a formal meeting.

Appropriate Communication Channels

The methods of conference calls and video-conferencing are only suitable for international meetings, but it is not necessary with everyone present in the room (Booth, et al. 2001). A PowerPoint presentation is a perfect way of presenting information in person to a group within the organization. Presentations are the best for presenting charts and graphs that consist of both visual representation and numbers. Providing handouts of notes for the presentation can be effective if the individuals present at the meeting require documents to take with them to reference later. Body language is a critical factor to keep in mind, both as a presenter and for observing the audience. Typically folded arms are not an indicator of a highly receptive audience. Moving
