Accounting Information Systems

The various  types of information systems employed  by payroll, accounts payable, accounts receivables, and accounting are ADP Payroll services, QuickBooks, UltiPro Software, and Paychex. ADP Payroll services is used to enter payroll data, run reports to verify data and finalize and transmit payroll. You enter your pay data that can be done manually or by uploading files each payroll. Once all the data has been entered in, you can run a register to compare your data to with data in the system. Once you are sure everything is accurate and send it in. ADP will send your final report and live checks usually on the next business day. QuickBooks is pretty much used the same way. The information is entered into the computer, after it’s entered and everything is verified: amounts, dates etc., the payroll is transmitted for direct deposit or checks are printed. UltiPro Software can be used to automatically retrieve time and attendance for payroll processing. After pay is calculated, it will generate direct deposit, paychecks and you can track the progress of payroll online. Paychex can be used much like the other systems. You can set payroll to automatically create and review payroll based on standard hours and salaries or you can enter it individually. As the other payroll systems, once the information has been verified, you submit to Paychex and whatever your delivery method you chose will be how it’s delivered to you (ultimate software, 2015).

The hardware that is used within the organization I work for to support information systems is a

  • 2.0 GHz processor; 2.4 GHz recommended.
  • 1GB RAM for single user, 2 GB RAM recommended for multiple users.
  • 4x CD-ROM drive required for CD installations.
  • Display optimized for 1024 x 768 screen resolution or higher.
  • All online services and subscription based features require internet access
  • Windows, US version only

Disk space requirements:

  • 2.5 GB of disk space (additional space required for data files).
  • Additional software: 250 MB for Microsoft.NET 4.0 Runtime, provided by QuickBooks CD.
  • Additional requirements for Intuit Data Protect in QB Connected Services offerings.

These recommended requirements are sufficient for the church I work for because I’m the only user and I don’t have a large staff meaning larger amounts of data that needs to be used. I am able to do everything from paying payroll and vendors to reconciling the bank accounts, so what I currently have works just fine for me. I am able to request reports for weekly meetings as well as quarterly meeting with ease. At this time, I don’t utilize the Intuit Data Protect in QuickBooks but it is something I am reviewing for the near future.
