Title: OD intervention for Director’s office

Objective:

  1. To document the standard functions done at the office and create a process
  2. To address the gap between the office and its customers

Introduction

The Director’s office is an important place which caters the needs of the students, teachers, research scholars and HODs of the campus. The functions of the office include:

Making a list of candidates

Giving grade cards

Issuance of leave

Maintaining attendance

Maintaining certificates (TC, 10th and 12th class marks, provisional certificate, migration certificate, caste certificate)

Issuance of Bonafide

Issuing Xerox coupons

Scholarship

Concessions

Administrative work

Preparing time table for exams for UG

Preparing routine for foyer

Making arrangements for functions and workshops

Question paper custodians

Providing applications for supplementary exams and retotalling  and so on

Acts as a medium between faculty and the Controller of examinations

 The diversity of their functions (shown in the table above) shows that the nature of work is quite complex and the procedures followed needs to be well organized. The number of people working in the office are three namely, Sri. Radha Krishna, Sri Subramanium and Sri Papa Rao. It was observed that there were delays in certain functions, making the customers (students and faculty) feel that the service being provided is not customer friendly. This project is intended to bridge this gap between the Director’s office and the customers.

Identifying the problem

The procedure which we have followed is to find out what are the problems being faced by both the parties, i.e. the office and its customers.

Office

After interacting with the members of the office the following key problems were identified:

  • Students do not come in a group to collect their grade cards in spite of repeated announcements. They come at their own leisure. It is disturbing the regular work.
  • The grade cards need to be tracked as the Ad-block doesn’t send them all at once.
  • The members of the office are often put to blame by the Controller’s office for delays in certain aspects-
  1. The Departments delay in sending the list of subjects to the office which in turn results in a delay of sending the list to the Ad-block
  2. Students don’t submit their caste certificates on time
  3. Students who had failed in any subject are expected to come to the office to fill a form for supplementary exam

All the above mentioned functions are resulting in delays. The office needs to send constant remainders to students. The faculty and research scholars do not have any major issues with the office as their frequency of approaching office is very less.
